Connecting DOBUY to Tadbir ERP for orders, stock and cash

How orders, stock and cash collections from a DOBUY delivery platform can sync with Tadbir ERP, and why it matters for your warehouse and accounts.

A delivery business runs on two kinds of records. The operational side, meaning orders, riders, routes, proof of delivery and cash in a rider’s pocket, lives in the delivery platform. The financial and inventory side, meaning stock levels, purchasing, invoices, ledgers and reports, lives in the ERP. When the two are not connected, people fill the gap by hand.

This article explains how DOBUY connects to Tadbir ERP, what moves between the two, and what that changes day to day. Both systems are built by FRESME.

The problem with two systems that do not talk

Picture a typical distributor or grocery chain that has just moved its ordering online. Orders now arrive through the app and the website. Then, every evening:

  • someone exports the day’s orders and keys them into the ERP as sales;
  • the warehouse adjusts stock by hand, so the app keeps selling items that ran out at lunchtime;
  • the cash collected by riders is counted, written on a sheet and entered into the accounts a day or two later;
  • at month end, finance tries to match three sets of numbers that never quite agree.

None of these steps is difficult. Together they cost hours every day and create errors that are hard to trace. The more successful the online channel becomes, the worse it gets.

What syncs

Between DOBUY and Tadbir ERP, three kinds of records can sync:

  • Orders. Orders placed through the customer app, the buyer website or accepted quote requests can flow to Tadbir ERP, so sales are recorded once, where your accountants expect them.
  • Stock. Stock levels can be shared between the two systems, so what customers can order online reflects what is actually in the warehouse, and what the warehouse sees reflects what has been sold online.
  • Cash collections. Cash collected on delivery is recorded against each order and rider in DOBUY. That collection data can sync to Tadbir ERP, so finance reconciles against the same figures the fleet team closed the shift with.

Exactly which records move in which direction, and how often, is agreed during setup. A grocery chain with fast-moving stock has different needs from a wholesaler with large, infrequent orders, and the connection is configured to match.

What changes day to day

When the link is in place, the evening re-keying disappears. Sales appear in the ERP as orders are placed. Items that run out stop being offered online. Rider cash is reconciled once, in the rider portal, and the result is what the accountants see.

The people who benefit most are usually not the managers but the staff who used to do the copying: warehouse supervisors, cashiers and junior accountants. Their work moves from data entry to checking exceptions.

Where ZATCA e-invoicing fits

In Saudi Arabia, e-invoicing requirements apply to your invoices, and invoices belong in your accounting system. Tadbir ERP provides ZATCA-compliant e-invoicing. DOBUY is ordering, delivery and multi-vendor commerce technology; it is not an e-invoicing system and does not replace one.

Connecting the two lets each do its own job: DOBUY takes the order, dispatches the rider and records the cash, and Tadbir ERP records the sale and issues the invoice in your accounts.

Why one team for both systems helps

Integrations between products from different vendors often stall at the boundary, with each side pointing at the other when a record does not match. FRESME builds and runs DOBUY and builds Tadbir ERP, so one team understands both data models and both sides of the connection. When something needs adjusting, there is one conversation, not two.

Do you need Tadbir ERP?

No. DOBUY runs on its own, with its own admin panel, revenue reports, cash ledgers and payout exports. Many businesses start that way. The link with Tadbir ERP makes the most sense when:

  • you hold stock across warehouses or branches and sell it online;
  • a meaningful share of your orders is paid in cash on delivery;
  • your finance team already works in Tadbir ERP, or plans to.

If you use a different ERP, tell us in the demo and we will talk through what is possible.

Who this suits

The connection is most useful for wholesale and B2B distributors, grocery chains and retailers with real stock to manage. For a single restaurant, the admin panel’s own reports are usually enough to start.
